By Ladonna Chambers

In this day and age the importance of keeping accurate records is becoming exponentially more important. Agreements, discussions, meetings and negotiations all need to be recorded in order to avoid conflict and misunderstanding. That is why a professional transcription service is so important to courts, governments and businesses everywhere. There are numerous clients for professionals that are able to produce accurate copies of proceedings.

There are many methods employed to produce one hundred percent accurate records of proceedings but the most popular remains the use of a stenotype machine, which has been in use for many years. By pressing different combinations of keys simultaneously, the operator is able to quickly record every word and gesture from a discussion or conversation. These keystrokes are then translated into normal text with the use of special computer software.

The technological age has seen the birth of electronic forms of reporting. In this case recorders use advanced audio equipment to record proceedings, but whilst the audio part of the proceedings is recorded, the recorder makes notes about the identity of the speakers and relevant body language. The final transcript is made from these notes and the recording, but it is time consuming. However, it is one of the most accurate methods.

Nowadays people use voice recognition software to produce transcripts. This is done by means of a method called voice writing. The operator actually wears a mask and repeats everything that is said and one. The purpose of the mask is to hide the sound made by the operator so as not to disturb the proceedings. The resultant recording is then automatically transcribed into text.

One is used to see these professionals operating in court rooms. It is true that there are judges that simply will not proceed without the services of such a professional, but they are also in demand in a lot of other places. Businesses use them to record negotiations and important meetings. Governments use them to make accurate copies of negotiations and even lawyers use them to record depositions and other important meetings.

There is much more to this type of job than merely producing accurate transcripts. Professionals are required to maintain meticulous records because they may be asked to provide additional copies of transcripts at short notice. In many cases they also spend a lot of time studying and maintaining computer software systems. It is also necessary to stay abreast of new technology and to upgrade existing systems as they become available.

Training for this career is tough and many business schools that offer formal courses have long waiting lists. Practitioners have to be good in languages and they have to master terminology commonly used in the business, medical and legal fields. Most professionals have above average intelligence and have a lively interest in current news. It is furthermore necessary to have above average computer literacy skills.

An accurate and professional transcription of any proceedings is one of the most important ways in which to make sure that there are absolutely no misunderstandings. These records are often the only way in which to confirm what exactly it is that each party said. Professionals in this field need to be extremely dedicated and they must be above reproach.
